2. Information we may process
For an initial website enquiry, we collect the name, email address, selected service, brief message, reply instructions and basic technical or spam-prevention information associated with the submission. If an enquiry proceeds, we may separately process identity and authority checks, case instructions, communications, payment records, research material, observations, imagery, reports and information about other individuals. Some instructions may involve special-category or criminal-offence information, which must not be submitted through the initial website form.
3. Why we use information
We use enquiry information to respond, assess whether the request has a lawful purpose, prevent misuse and decide whether to offer services. If instructed, we use relevant information to enter into and perform the contract, plan and conduct lawful work, communicate findings, maintain records, protect legal rights and meet legal or regulatory duties.
4. Lawful bases
Depending on the circumstances, processing may be necessary to take steps at your request before entering a contract, to perform a contract, comply with a legal obligation, or pursue legitimate interests such as operating securely, assessing lawful requests and protecting legal rights. Additional legal conditions are assessed before processing special-category or criminal-offence information.
5. Website form provider and sharing
The website enquiry form is processed using Formspree, a technology service provider, and forwarded to KODIAK PI’s approved business inbox. Form providers may process submission and technical data to deliver the service and prevent abuse. Information may otherwise be shared only where necessary with authorised service providers, instructed specialists, professional advisers, courts, regulators or law enforcement. Appropriate contractual and data-transfer safeguards are used where required.
6. Retention and security
Enquiries that do not proceed are retained only as long as reasonably necessary to respond, manage risk and maintain appropriate records. Information relating to accepted instructions is retained in accordance with the applicable legal, contractual, insurance and limitation requirements. Access is restricted and information is deleted or anonymised when no longer required.
7. Your rights
Depending on the circumstances, individuals may have rights of access, rectification, erasure, restriction, objection and data portability. Some rights may be limited by applicable legal exemptions. Requests should be sent to enquiries@kodiakpi.co.uk.
8. Complaints

9. Website data and cookies
This website does not intentionally set non-essential cookies. The form provider may use strictly necessary security or abuse-prevention measures when processing a submission. If analytics, advertising, embedded media or chat tools are added, this notice and any required consent mechanism will be updated before they are enabled.
